CHILMARK PERSONNEL BOARD MEETING Jan. 22, 2005 – CHILMARK TOWN HALL

CALL TO ORDER:  9:32 a.m.

PRESENT:  Members Jennie Greene, Richard Williams, and Lois Norton. Also present: Selectman - Riggs Parker, Staff Liaison - Sylvia Yeomans, Executive Secretary – Tim Carroll, and Luanne Johnson – Admin. Asst.

MINUTES: The PB reviewed and edited draft minutes from the 19 January meeting.  There was a motion to approve these minutes as edited.  It was seconded, voted, and so carried.
·        There was discussion with regard to the Assistant Assessor position.  Sylvia mentioned that she agreed with Pam Bunker’s email received subsequent to the last meeting that Pam does not do other administrative work for the Town.  Richard clarified that the Assistant Assessor Job Description allows this position to administratively support other Town Hall Boards or Employees.  Tim Carroll stated that the Assistant Assessor has assisted the Finance Committee through the Executive Secretary, and routinely works with the Tax Collector and others with their work in the past year.

DISCRIMINATORY HARASSMENT POLICY FOR THE TOWN
·       The PB reviewed comments from Jack Collins, Town counsel, on a Discriminatory Harassment Policy for the Town.  The PB edited the document to include comments from Mr. Collins.  Lois made a motion to recommend the Discriminatory Harassment Policy of the Town of Chilmark, as edited at the Jan 22 PB meeting, to the Board of Selectmen for adoption as Town policy.  The motion was seconded, voted, and so carried.
·       The PB asked Luanne to email the Discriminatory Harassment Policy to Mr. Collins and ask that he review the policy one last time before it goes to the Board of Selectmen.

OTHER BUSINESS
·       The PB agreed to work individually on the requested revisions for the Receptionist/Administrator job description and a description for an Administrative Support Coordinator, and meet again on Monday, Jan. 22nd at 5pm to finalize the job descriptions for recommendation to the Board of Selectmen at their February 1st, 2005 meeting.
·       The group agreed to change the 8:00 am, Jan. 24th meeting at the Town Hall to 5:00 pm due to the approaching snowstorm. Tim Carroll agreed to change the posting on the Town bulletin board.
·       There being no further business, a motion was made to adjourn the meeting. It was seconded, voted and so carried. Meeting adjourned at 10:27 am
